Kenyon Clients retaining International Call Center Services may at any time activate operational resources. Kenyon manages it resources based on the number of members. These resources are not available to non-Clients because of the significant cost in recruiting, training, equipping and maintaining readiness.
When reports of an incident involving large numbers of missing, injured or deceased people reaches the news, affected businesses and governments have only minutes to institute and activate inbound call centers. These call centers must be capable of receiving and processing up to 30,000 calls in a single 24-hour period.
In addition to receiving and sorting through the telephone calls, the call center must be able to accurately capture and organize information from the callers and consistently provide the most current information. They must then begin to return calls to those who are most directly impacted by the event. Finally, they must undertake the process of arranging for travel of families and friends to the incident area.
Many businesses and governments will create instant call centers, diverting operators from normal sales calls, complaint-taking or other marketing activities. However, experience has shown this is often not successful and can have a fairly negative impact on business/government continuity, perception of families and friends calling in, media reports, and stress to the operators who are unprepared for such duties.
Regardless, of the level of preparedness for the event, or responsibility, the people directly involved, friends and families will look to the most visible central party – the airline, hotel owners, cruise operator, tour operator, or public venue owner – for help. In some cases their response and actions are mandated by national laws.
The Kenyon International Call Center is a solution to this problem and one many Clients utilize in combination with our other services. The Kenyon International Call Center provides variable staffing levels capable of receiving 30,000 calls in a 24-hour period for several days.
Prior to entering into a Client agreement, a dedicated full-time Kenyon Call Center Director and Kenyon Account Executives work with you to create a unique activation plan tailored to meet your specific needs, identifying key decisions best made ahead of time, as opposed to at the emotional time of an incident. This also ensures the Clients have the necessary tools to notify Kenyon and activate the Call Center at any time and place.

Once activated, Kenyon's International Call Center is organized into four different functional sections, staffed by trained teams.
These functions and teams are:
Inbound Call Team – All incoming phone calls are routed to agents who are trained to collect information from the inbound callers. The agents are also trained to sort and filter through these callers and refer non-incident related callers to the appropriate numbers and refer media to media points of contact.
These agents are typically the families' first contact with the "response system" and will set the tone for future activities. Therefore, their training, ability to use the Kenyon Response™ Database and exercise/testing is a major focus of the fulltime Kenyon Call Center Director.
Notification Call Team – Once a confirmed manifest or other supported document is provided to the call center, these agents, specifically trained for this job, begin the difficult process of returning calls or making new contacts to speak with family members to confirm their loved ones' involvement in the incident. In many cases this action is mandated by law.
The Notification Team can also provide updated information to the families as it becomes available, such as hospital location, evacuation location or status of recovery site, or actions they should take such as reporting to work or when normal operations will resume.
Data Management Team – This specially-trained and experienced team matches the Kenyon Response™ Database to manifests or other information provided by the Member. The team starts this process by reviewing all files to establish a comprehensive and accurate list of those persons directly affected in the incident and their respective family members. In this way it is possible to accurately verify the status of those persons directly affected.
This team also works with selected government call center liaisons or Client's other call centers to ensure no family members are inadvertently missed and to develop a complete list of people reported missing because of the incident.
Travel and Assistance Team – When an incident occurs, such as the loss of a commercial airliner, cruise ship, or train, it is often the case that family members desire or are asked by authorities to travel to a central location near the site. Typically a family assistance center is established at that location. When that is the case, the Kenyon travel and assistance team, working in the call center, will coordinate directly with family members, staff at the Family Assistance Center, and local governments.
